Getting started

Up and running in an afternoon, not a quarter

Bring one community over, run it beside whatever you use today, and bring the rest when it has earned it. A board can do it in an afternoon; a company brings a community at a time. No consultant, no onboarding fee, and everything exports if you ever leave.

The roster

From the spreadsheet you have

Upload the sheet. Havn labels the homes, matches owners and co-owners, and flags the rows that need a look before anything goes out.

The books

Opening balances, then the bank

Pick a chart of accounts, ours or your own, enter the balances as of a conversion date, and connect the bank. The ledger starts there.

The owners

One send, three ways

Every owner gets the invite by email, text, and a mailed letter with a QR code. You watch who signs in and nudge the rest.

Pricing

Priced per home. Resale documents included.

One monthly price per unit covers the whole platform, resale documents included. The person ordering a document pays its fee. No contract to sign.

Self-managed boards

$1 per unit per month

  • $1.00 per unit per month
  • $59 minimum per community
  • $0.60 per unit past 200
  • 30-day free trial, 10% off yearly

Management companies

$1 per unit per month

  • $1.00 per unit per month
  • $59 minimum per community
  • $0.60 per unit past 200
  • $0.70 per unit, no minimum, past 1,000 doors across your portfolio
  • 30-day free trial, 10% off yearly

Resale documents

$0 added to your bill

Resale certificates, lender questionnaires, and demand letters are part of the platform. The requester pays for each one at the price you set, and Havn's share comes out of that fee, never on top of a legal cap.

HOA software: common questions

Short answers for boards, managers, and the owners they serve.

What is HOA software?

HOA software is the system a homeowners or condominium association, or its management company, uses to run the community: its owner and unit records, its dues and accounting, its documents, its letters and notices, the requests that come in from owners, and the documents that every sale and refinance asks for.

What do owners get?

A portal for their home: the balance and autopay, statements, the community's documents, any notice about their home with a way to respond, requests to the office with the reply in one thread, news, the calendar, votes, and the board and office contacts. Co-owners each get their own login.

See the Homeowner Portal

How do owners sign in?

With the email the association has on file. They confirm it with a code we email, set a password if they want one, and their home is already there. The invite goes out by email, by text, and by a mailed letter with the community's link and a QR code.

What does Havn cost?

Havn is priced per unit per month: $1.00 per unit with a $59 minimum per community and $0.60 per unit past 200, the same for a self-managed board and a management company, with a 30-day free trial. A management company's rate drops to $0.70 per unit with no minimum once its portfolio passes 1,000 doors. Resale documents are included, and the person ordering one pays its fee.

See Pricing

Does Havn work for a self-managed HOA?

Yes. A board-run community gets the same portal, records, accounting, communications, and documents as a management company, with payments settling to the association's own bank account and letters mailed without a printer.

How does Havn reach owners who are not online?

By letter. Announcements, notices, statements, and the portal invite itself can go out by mail, rendered on the community's letterhead and sent first class or certified, with tracking back on each piece.

See Communications

What is an HOA resale certificate, and does Havn still prepare them?

Yes. It is the association's written statement of what an owner owes and what a buyer is walking into. Havn drafts it from the community's records, attaches the exhibits, checks the fee and the deadline against the state, and hands it to you for a signature. Florida caps an estoppel certificate at $299; Washington caps a resale certificate at $275.

See Resale Certificates by State

Who is responsible for what a document says?

The association. Havn prepares the draft from the community's records and checks it against the state's rules. The manager or a board member reviews it, completes what only they know, and signs.
